1. Introduction

These Terms and Conditions govern the services provided by DVC Exchange UK (ā€œweā€, ā€œusā€, ā€œourā€) to customers seeking Disney Vacation Club (ā€œDVCā€) accommodation reservations.

By making a booking through DVC Exchange UK, you agree to these Terms and Conditions.

2. Our Role

DVC Exchange UK acts as an intermediary between Disney Vacation Club members and customers seeking accommodation reservations.

We are not affiliated with, endorsed by, or operated by Disney Vacation Club, The Walt Disney Company, or any of their subsidiaries.

3. Reservation Requests

All reservation requests are subject to availability.

A booking is not confirmed until:

  • Full payment has been received; and

  • Written confirmation has been provided by DVC Exchange UK.

4. Payment

Full payment is required before a reservation is secured unless otherwise agreed in writing.

Prices quoted are valid for the period stated and may change if availability changes before confirmation.

5. Cancellation Policy

Because DVC reservations are secured using a member’s points, all bookings are generally non-refundable once confirmed.

If a customer requests cancellation after confirmation, no refund will normally be available unless agreed at our discretion.

If a reservation cannot be fulfilled due to circumstances beyond the customer’s control, DVC Exchange UK will use reasonable efforts to arrange an alternative reservation or refund any monies received that have not already been paid to the DVC member.

6. Changes to Reservations

Changes to dates, resort, room type, or guest names are subject to availability and may incur additional charges.

We cannot guarantee that requested changes can be accommodated.

7. Customer Responsibilities

Customers are responsible for:

  • Providing accurate guest information.

  • Complying with Disney resort rules and policies.

  • Ensuring all travellers have valid travel documentation and insurance.

8. Limitation of Liability

DVC Exchange UK is not responsible for:

  • Airline cancellations.

  • Travel disruptions.

  • Changes made by Disney.

  • Resort closures.

  • Events beyond our reasonable control.

Our liability shall not exceed the total amount paid directly to DVC Exchange UK for the reservation.

Nothing in these Terms excludes liability where exclusion is prohibited by law.

9. Travel Insurance

We strongly recommend that all customers obtain comprehensive travel insurance covering cancellation, medical expenses, and travel disruption.

10. Privacy

Customer information will be used solely for the purpose of arranging reservations and administering bookings.

Personal data will be processed in accordance with applicable UK data protection laws.

11. Governing Law

These Terms and Conditions shall be governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Refunds and Cancellation Policy

Booking Deposits

A deposit of £100 is required to secure a reservation request.

The reservation process will not begin until the deposit has been received.

The £100 will be taken off the remaining cost of the reservation.

Should the reservation not be made, through no fault of the guest, the £100 deposit will be refunded.

Confirmation of Booking

A booking is considered confirmed once:

  • The reservation has been successfully secured with the Disney Vacation Club member.

  • The customer has received written confirmation from DVC Exchange UK.

Upon confirmation, the customer becomes liable for the full booking amount.

Customer Cancellations

Before Reservation Is Confirmed

If DVC Exchange UK is unable to secure the requested reservation, any monies paid by the customer, including the deposit, will be refunded in full.

If the customer chooses to cancel before the reservation has been confirmed, the £100 deposit will be retained to cover administration and sourcing costs. Any additional funds paid will be refunded.

After Reservation Is Confirmed

Once a reservation has been confirmed by the Disney Vacation Club member, all payments are non-refundable.

This is because DVC points used to secure reservations cannot generally be returned, resold, or reused without financial loss.

Customers are therefore strongly advised to ensure all travel plans are final before proceeding with a booking.

Reservation Changes

Requests to change dates, resorts, room types, or guest names after confirmation are subject to availability and approval by the Disney Vacation Club member.

DVC Exchange UK cannot guarantee that any requested changes can be accommodated.

Additional charges may apply.

Cancellations by DVC Exchange UK

If DVC Exchange UK or the supplying Disney Vacation Club member is unable to fulfil a confirmed reservation due to circumstances within our control, customers will be offered either.

  • A suitable alternative reservation; or

  • A full refund of monies paid

Disney-Initiated Changes

DVC Exchange UK is not responsible for changes made by Disney, including but not limited to:

  • Resort closures

  • Refurbishments

  • Changes to resort amenities

  • Changes to park access policies

  • Operational changes beyond our control

Refunds will not be available solely because of changes made by Disney after a reservation has been confirmed.

Travel Insurance

Customers are strongly encouraged to obtain comprehensive travel insurance that includes cancellation cover.

Travel insurance may provide protection in situations where refunds are not available under this policy.

Chargebacks and Payment Disputes

By making a booking, customers acknowledge and agree to this Refunds and Cancellation Policy.

Customers agree to contact DVC Exchange UK directly to resolve any concerns before initiating a chargeback or payment dispute with their payment provider.
